Most monthly plans in a self-study library end in the first ten days of the month, so the same 30 or 40 reminder messages need typing at the same time every month. Below are 25 tested formats you can copy, in English, Hindi and Hinglish.
Quick answer
A good library fee reminder message is private, polite and specific: the student's name, plan end date, amount, shift, seat and how to pay. Send one 3 days before the end date, one on the day, one overdue message, a final notice with a release date, and a thank-you receipt after payment.
Librify is a library management app for private self-study libraries and reading rooms in India. The templates work with any phone; the last section shows how Librify fills them in for you.
How to use these templates
Replace everything in square brackets. Keep the amount, date and seat number in every message, because "your fees are due" with no amount always gets the reply "kitna?". A few rules keep reminders from turning into arguments:
- Send each reminder privately, from the library's number, never in the group.
- Send between 10 AM and 8 PM. A 6 AM message lands while the student is queueing at the gate.
- Use one language per student. If they joined speaking Hindi, send Hindi.
- Do not threaten. State the rule and the date, and let the rule do the work.
- Message only students who gave you their number at admission, and stop if someone asks. WhatsApp's own business messaging policy expects opt-in and respect for opt-out requests.
The timing below follows the 5-step process in our guide on handling library fee defaulters: advance reminder, due day, grace period, final notice and release.
Stage 1: 3 days before the plan ends
This is the message that does most of the work. Students who depend on money from home need these three days to ask for it.
1. English, standard

20. After the seat is released
Hi [Name], seat [22] has been released as per the library rules. Your pending balance is ₹[750]. You are welcome to rejoin any time, subject to seat availability.

When to send each message
| Stage | Templates | When | Tone |
|---|---|---|---|
| Advance reminder | 1 to 5 | 3 days before the end date | Informative |
| Due day | 6 to 10 | On the end date, after 10 AM | Neutral nudge |
| Overdue | 11 to 15 | Day 2 of a 3-day grace period | Friendly, with hold date |
| Final notice | 16 to 20 | Day 4 after the end date | Firm, with release date |
| Receipt | 21 to 25 | Same day the payment is recorded | Thank-you |
Save your five most-used templates as quick replies in WhatsApp Business so you can insert them with a shortcut. If a student's number is not saved, WhatsApp's click to chat link opens a chat without adding the contact.
Mistake we see often
Copying one message to 40 students with the same amount and date. Students on different shifts pay different fees and have different end dates, so a generic message gets a wrong amount to someone, and the reply thread becomes a correction. Fill in the amount and date for each student, or use an app that fills them in from your records.
Sending these reminders from Librify
Typing 40 personalised reminders is where most owners give up by the 5th of the month. Librify reads each student's plan end date, shift and seat from its records, so you do not fill in the brackets yourself.
- Mini and Pro: the dashboard composer builds payment-due, ending, expired and receipt WhatsApp messages in any of 9 languages, including Hindi, Marathi, Gujarati and Tamil. A receipt goes out when you record a payment.
- Pro: also sends expiry reminders, so the advance and due-day stages do not need you.
- Free: you can open WhatsApp from your own phone with a prefilled default English message for each student, then edit and send it.
For the automated four-stage flow, read how to automate fee collection. For receipts specifically, see WhatsApp payment receipts for libraries, and for end dates, subscription expiry tracking.
Frequently asked questions
When should I send a library fee reminder message?
Send the first reminder 3 days before the plan ends, a second on the end date, and one overdue message on day 2 of the grace period. Send between 10 AM and 8 PM, not at the 6 AM shift change, so the student reads it when they can act on it.
Should fee reminders go in the library WhatsApp group?
No. Fee reminders should go to each student privately. A group message names or hints at who has not paid, embarrasses students in front of peers and shares their details with everyone in the group. Use the group only for general notices, such as a holiday or a change in shift timings.
Fees reminder message Hindi me kaise likhe?
Keep it short and polite: greeting, name, plan end date, amount and how to pay. For example: नमस्ते [नाम], आपका प्लान [तारीख] को खत्म हो रहा है। फीस ₹[राशि] है। This post has five Hindi templates, one for each stage from advance reminder to receipt.
Can I send these reminder templates automatically?
Yes, with a library app. On Librify's Mini and Pro plans, the dashboard composer builds payment-due, ending, expired and receipt messages in 9 languages, and Pro also sends expiry reminders. On the free plan you can open WhatsApp with a prefilled default English message and send it from your phone.
What should a fee receipt message include?
The student's name, the amount, the payment mode (cash or UPI), the plan dates, the shift and the seat number. Add the new end date in the message itself, so the student has it in writing and does not need to ask the desk again next month.
Let the app fill in names, amounts and dates for you.
Free plan available. Paid plans from ₹59 a month.
